Terms of Service

1. Introduction
Welcome to Busynest. These Terms of Service ("Terms") govern your access to and use of the Busynest expense tracking application and related services (the "Service"). By creating an account or using our Service, you agree to be bound by these Terms.
If you do not agree to these Terms, you may not access or use the Service.
2. Service Description
Busynest is an expense tracking application that allows you to:
- Track expenses and transactions across multiple currencies (GBP, USD, EUR)
- Categorize and organize your expenses
- Forward receipt emails to receipts@busynest.org for automatic processing and attachment storage
- Upload and manage receipt attachments (maximum 4MB per file)
- Create recurring expenses and generate automated transactions
- View expense analytics and reports
3. User Accounts and Registration
3.1 Eligibility
You must be at least 18 years old to create an account and use the Service. By registering, you represent and warrant that you meet this age requirement.
3.2 Email Verification
To use features such as email receipt forwarding, you must verify your email address. Only email-verified users can forward receipts to receipts@busynest.org for processing.
3.3 Account Security
You are responsible for maintaining the confidentiality of your account credentials and for all activities that occur under your account. You must notify us immediately of any unauthorized access or security breach.
3.4 Trial Period
New accounts receive a 2-month free trial period. During the trial, you have full access to all Service features. After the trial period ends, you must subscribe to continue using the Service.
4. User-Generated Content
4.1 Your Responsibility
You are solely responsible for all content you upload, forward, or submit to the Service, including:
- Receipt emails forwarded to receipts@busynest.org
- File attachments (receipts, invoices, documents)
- Expense descriptions and notes
- Transaction details
4.2 License Grant
By submitting content to the Service, you grant Busynest a limited, non-exclusive, worldwide license to:
- Store your content on our servers and third-party storage services
- Process your content to provide the Service (e.g., extract payee information from forwarded emails)
- Display your content back to you within the application
- Make backups of your content for disaster recovery
This license exists solely to enable us to provide the Service to you and will terminate when you delete your content or close your account.
4.3 Ownership
You retain all ownership rights to your content. Busynest does not claim ownership of your receipts, expense data, or other content you submit.
5. Email Receipt Forwarding Service
5.1 How It Works
You can forward receipt emails to receipts@busynest.org. Our system will:
- Verify that the sender email address is associated with a verified Busynest account
- Extract payee information from the forwarded email headers
- Process and store any attachments that meet our requirements
- Create a posting in your inbox for you to review and assign to expenses or transactions
5.2 Supported Attachment Formats
We accept the following file types for receipt attachments:
- PDF documents (.pdf)
- JPEG images (.jpg, .jpeg)
- PNG images (.png)
- GIF images (.gif)
- BMP images (.bmp)
- WebP images (.webp)
5.3 Size Limits
Each attachment must not exceed 4 MB in size. Attachments that exceed this limit or use unsupported file formats will be rejected, and you will receive a warning notification.
5.4 Email Processing
Emails are processed automatically by our third-party email service provider (Mailgun). We cannot guarantee successful delivery or processing of all forwarded emails. Failed or discarded emails may be logged for troubleshooting purposes.
6. Data Privacy and Security
6.1 Privacy Policy
Your use of the Service is also governed by our Privacy Policy, which describes how we collect, use, and protect your personal information.
6.2 Security Measures
We implement industry-standard security measures to protect your data, including:
- Encrypted data transmission (HTTPS/TLS)
- Encrypted data storage
- Access controls and authentication
- Regular security monitoring and backups
6.3 Malicious File Disclaimer
While we take reasonable precautions, we cannot guarantee that all user-uploaded files are free from malware, viruses, or other malicious code. You should exercise caution when downloading or opening attachments, even those you uploaded yourself. Busynest is not liable for any harm caused by malicious files uploaded by users.
7. Acceptable Use Policy
You agree not to:
- Upload, forward, or submit any illegal, harmful, threatening, abusive, or otherwise objectionable content
- Upload files containing malware, viruses, or malicious code
- Use the email forwarding service to send spam or unsolicited messages
- Attempt to gain unauthorized access to the Service or other users' accounts
- Interfere with or disrupt the Service or servers
- Use the Service for any unlawful purpose or in violation of these Terms
- Upload content that infringes on intellectual property rights of others
7.1 Reporting Abuse
If you become aware of any violations of this Acceptable Use Policy, please report them to support@busynest.org.
8. Payment Terms
8.1 Subscription Pricing
After your trial period ends, continued use of the Service requires a paid subscription of £49.99 per year.
8.2 Payment Processing
Payments are processed securely through our third-party payment provider, Stripe. We do not store your full credit card details on our servers. By providing payment information, you agree to Stripe's terms of service and privacy policy.
8.3 Automatic Renewal
Subscriptions automatically renew annually unless you cancel before the renewal date. You will be charged at the then-current subscription rate.
8.4 Refunds
Subscription fees are non-refundable except as required by law or at our sole discretion.
8.5 Cancellation
You may cancel your subscription at any time through your account settings. Upon cancellation, you will retain access to the Service until the end of your current billing period.
9. Data Retention and Deletion
9.1 Data Retention
We retain your expense data, receipts, and attachments for as long as your account is active. Data associated with active expenses and transactions remains accessible to you.
9.2 Account Deletion
You may request deletion of your account by contacting support@busynest.org. Upon account deletion:
- Your personal data will be permanently deleted within 30 days
- All expenses, transactions, and postings will be deleted
- Attachments will be removed from storage
- Backups containing your data will be deleted during the next backup cycle (up to 90 days)
9.3 Linked Data
When you delete a posting, associated attachments may remain if they are linked to expenses or transactions. Deleting an expense or transaction will remove all associated attachments unless they are linked elsewhere.
9.4 Payment Records
Payment transaction records may be retained by Stripe for legal and tax compliance purposes for up to 7 years, as required by applicable law.
10. Third-Party Services
Busynest uses the following third-party service providers to operate the Service:
- Mailgun: Email processing and receipt ingestion (receipts@busynest.org)
- DigitalOcean Spaces: Cloud file storage for receipts and attachments (production environment)
- Stripe: Payment processing and subscription billing
- Cloudflare Turnstile: CAPTCHA and bot prevention
- Plausible Analytics: Privacy-focused website analytics (no cookies, anonymized data)
These service providers may have their own terms of service and privacy policies. We select providers that meet our standards for security and data protection, but we are not responsible for their practices.
11. Logging and Monitoring
For security, troubleshooting, and service improvement purposes, we log:
- System activity and errors
- Failed or discarded email receipt deliveries
- Authentication attempts and session activity
- API requests and responses
- File upload and processing events
Logs are retained for a limited time and are used solely for operational purposes. We do not sell or share log data with third parties except as required by law.
12. Limitation of Liability
12.1 Service "As Is"
The Service is provided "as is" and "as available" without warranties of any kind, either express or implied, including but not limited to warranties of merchantability, fitness for a particular purpose, or non-infringement.
12.2 No Liability for Data Loss
We are not liable for any loss of data, including expenses, transactions, receipts, or attachments, resulting from:
- User error or account deletion
- Technical failures or service interruptions
- Third-party service provider failures
- Unauthorized access or security breaches
You are responsible for maintaining your own backups of important data.
12.3 No Liability for User Content
We are not liable for any harm, damages, or losses caused by:
- Malicious files uploaded by users
- Inaccurate or incomplete expense data entered by users
- User reliance on expense reports or analytics
12.4 Limitation of Damages
To the maximum extent permitted by law, our total liability for any claims arising from your use of the Service shall not exceed the amount you paid us in the 12 months preceding the claim.
13. Termination
13.1 Our Right to Terminate
We reserve the right to suspend or terminate your account at any time, with or without notice, if:
- You violate these Terms or our Acceptable Use Policy
- Your payment fails or your account becomes past due
- We are required to do so by law or legal process
- We discontinue the Service (with reasonable notice)
13.2 Your Right to Cancel
You may cancel your subscription and close your account at any time. Upon cancellation, you will retain access to the Service until the end of your current billing period, after which your account will be deactivated.
13.3 Effect of Termination
Upon termination or account closure:
- Your access to the Service will be revoked
- Your data will be deleted according to our data retention policies (see Section 9)
- You will no longer be charged for the Service
- These Terms will remain in effect for any outstanding obligations
14. Changes to Terms
We reserve the right to modify these Terms at any time. If we make material changes, we will notify you by:
- Sending an email to your registered email address
- Displaying a notice on the Service
- Updating the "Last updated" date at the top of this page
Your continued use of the Service after changes take effect constitutes acceptance of the modified Terms. If you do not agree to the changes, you must stop using the Service and cancel your account.
15. Governing Law and Dispute Resolution
15.1 Governing Law
These Terms are governed by the laws of England and Wales, without regard to conflict of law principles.
15.2 Jurisdiction
Any disputes arising from these Terms or your use of the Service shall be subject to the exclusive jurisdiction of the courts of England and Wales.

17. Miscellaneous
17.1 Entire Agreement
These Terms, together with our Privacy Policy, constitute the entire agreement between you and Busynest regarding the Service.
17.2 Severability
If any provision of these Terms is found to be unenforceable, the remaining provisions will remain in full force and effect.
17.3 No Waiver
Our failure to enforce any right or provision of these Terms will not constitute a waiver of that right or provision.
17.4 Assignment
You may not assign or transfer these Terms or your account without our prior written consent. We may assign these Terms without restriction.
By using Busynest, you acknowledge that you have read, understood, and agree to be bound by these Terms of Service.
